Usage Policy – Term and Conditions

User types

There are three types of users of the KOIOS Specification Library:

  • Registered users
  • Standard members
  • Premium members

Registered user (no fee): can export ISO 8000 compliant catalogue items from the KOIOS specification library and any private network library they are part of. A registered user does not have access to the sourced item library

Standard member (fee based on defined usage): can export ISO 8000 compliant catalogue items from the KOIOS specification library and any private network library they are part of. A registered user has access to the sourced item library.

Premium member (fee agreed on individual basis for high volume users): can export ISO 8000 compliant catalogue items from the KOIOS specification library and any private network library they are part of. A registered user has access to the sourced item library. Premium membership is available for Primes in the supply chain, who deal with large number of SKUs, and who want to build a bespoke package of substantial credits and other required components to support their ecosystem. Effectively, they use their credits to sponsor smaller third-party suppliers into the KOIOS Community at preferential rates.

Usage policy and definitions

A credit is used each time you upload/download a specification to/from the KOIOS Specification Library respectively.

Downloads

A download is defined as:

adding a specification from the KOIOS Specification (or Private Network) Library to your ‘Sourced items Library’

Specifications can be downloaded from the KOIOS Specification (or Private Network) Library to your ‘Sourced Item Library’ (using up a download credit).

Specifications in your ‘Sourced Item Library’ can be individually or mass exported in any format available to your company. Short and long descriptions can be generated for these specifications and this information can be exported as well.

Specifications can be exported individually for free as ISO 8000 compliant XML files directly from the ‘KOIOS Specification Library’. This is available for all users of the software.

The downloading part of the system is designed for organizations (or those parts of an organization) that procure product. The buyer populates their ‘Sourced Item Library’ (a library of items they purchase) by downloading specifications from the KOIOS Specification Library. Once in their ‘Sourced Item Library’, the buyer can generate their own short descriptions for the product, by using our short description generator, before exporting data to their ERP, e-Commerce system or any external system.

If a required item is not in the library, the buyer should contact the manufacturer and ask them to add the item to the library, or if the manufacturer is not part of the KOIOS community, they should invite them to join so that their products can be added for the benefit of the community.

Uploads

An upload is defined as:

adding a specification from your catalogue to the ‘KOIOS Specification (or Private Network) Library’

Specifications can be created and managed in your catalogue. Once a catalogue item is created, it can be uploaded to the KOIOS Specification (or Private Network) Library (an uploading credit will be used). 

Downloading credits do not apply to catalogue items created by your own company. However, data can only be exported once an item has been uploaded to the KOIOS Specification (or Private Network) Library.

All users can upload up to three catalogue items for free.

Members of the Community can import catalogue items directly from a template file. All template files have to be verified by a member of the KOIOS Master Data support team to ensure the validity and quality of the file. The KOIOS support team can create these files on behalf of your company.

The uploading part of the system is designed for organizations (or those parts of an organization) that manufacture their own products and need to create a digital version of that catalogue item. The specification data is owned by this organization, so organizations that upload are required to link their ISO 8000-115 prefix to their legal entity to prove they own the right to use the prefix. The catalogue items can then be uploaded to the KOIOS Specification (or Private Network) Library for the benefit of the community.

Import

Importing is defined as:

Generating catalogue item data from an external template file.

Members of the Community can import catalogue items directly from a template file (provided by KOIOS Master Data). All template files must be verified by a member of the KOIOS Master Data support team to ensure the validity and quality of the file. Export

Exporting is defined as:

Generating a file populated with catalogue item data from the KOIOS Software to import to an external system.

Individual specifications can be exported from the KOIOS Specification Library as an ISO 8000 compliant XML file.

Multiple specifications can be exported from your ‘Sourced Item Library’ in any format that is available to your company. If there is a format that you would like to use and is not available to you then please contact support@18.130.46.183. Fees apply.
